Mobile App Review Response Templates (2026)
Ready-to-adapt templates for App Store and Google Play review responses — positive, negative, billing — that turn 1-star reviews into 4-star updates.
Responding to reviews is the cheapest, most effective ASO + conversion lever indie devs leave on the table. Both stores index your responses. Future readers see how you treat customers. Some 1-star reviewers update their reviews after a good response.
This is a working set of templates. Adapt the tone to your brand.
Core principles
Before the templates:
- Personal — use the reviewer's name if visible.
- Specific — address the exact complaint, not a paraphrase.
- Brief — under 100 words usually.
- Action-oriented — what's the user's next step?
- Calm — even when the review is unfair.
Template 1: Crash / technical bug
1-2 star: "App crashes when I [action]"
Hi [Name],
Sorry for the crash. We've shipped fixes in v[X.Y.Z], available now. If you're still hitting issues, email [email protected] with your device + OS and we'll investigate.
Thanks for the heads up.
— [Your name / Team]
Variations:
- Include screenshot of fix-version if helpful.
- Mention timeline if fix is pending review.
Template 2: Subscription / billing complaint
1-2 star: "Charged me without warning / hidden subscription"
Hi [Name],
Sorry the trial-to-paid timing felt opaque. The subscription terms appear at [specific spot], and you can cancel anytime in Settings > Subscriptions. We're happy to refund if billing surprised you — email [email protected].
— [Your name / Team]
Tone matters: don't argue about whether they "should have known." Empathize, offer path.
Template 3: Feature missing
1-3 star: "Doesn't have [feature]"
Hi [Name],
Thanks for the suggestion. [Feature] is on our roadmap — [specific timeline if real, "in the next few releases" if vague]. We'll update you when it ships.
If you have specific use cases, email [email protected] — we want to get it right.
— [Your name / Team]
Don't promise features you might not ship. Vague timelines are safer than missed dates.
Template 4: UX confusion
2-3 star: "Confusing UI" / "Can't figure out [feature]"
Hi [Name],
Sorry the UX wasn't intuitive. To [accomplish thing], tap [specific button/path]. We're working on making this clearer in upcoming releases.
If you have specific friction points, email [email protected] — we appreciate the feedback.
— [Your name / Team]
Specific instructions help. Don't be defensive about the design.
Template 5: Bot / fake account complaint
1-star: "Full of bots / fake users"
Hi [Name],
We take account authenticity seriously. All accounts pass [your verification system]. If you saw a profile that looked suspicious, please report it via [path] and we'll investigate.
— [Your name / Team]
Don't argue that "there are no bots." Acknowledge concern + path to action.
Template 6: 5-star review
5-star: positive but brief
Thanks [Name]! Glad it's working for you. If you have feature requests or feedback, drop us a line at [email protected].
— [Your name / Team]
Brief acknowledgment. Open door to ongoing dialogue.
Template 7: 4-star with constructive criticism
4-star: "Mostly great but [issue]"
Hi [Name],
Glad you're enjoying it. The [issue] is a good catch — [if real fix planned: it's on our roadmap for [timeline]. If discretionary: we'll consider it]. Thanks for the constructive feedback.
— [Your name / Team]
These reviewers are often the most reachable. Engage warmly.
Template 8: Pricing complaint
1-3 star: "Too expensive / paywall too aggressive"
Hi [Name],
Thanks for the feedback. The Pro tier is $[price] because [reason — e.g., AI generation costs, content licensing]. The free tier includes [specific value] so you can use [core feature] without paying.
If you have suggestions on what should be free vs paid, email [email protected].
— [Your name / Team]
Explain pricing rationale briefly. Don't apologize for charging.
Template 9: Comparison complaint
1-2 star: "Better alternatives exist (e.g., [competitor])"
Hi [Name],
Thanks for trying us. We'd love to know what specifically [competitor] does better — email [email protected] if you have time. Feedback like this directly shapes our roadmap.
— [Your name / Team]
Don't engage with the comparison details publicly. Just invite specific feedback.
Template 10: Privacy concern
1-2 star: "App collects too much data" / "Privacy concerns"
Hi [Name],
Privacy matters to us. We only collect [list main categories]. Our privacy nutrition labels are accurate and reviewed quarterly. Full policy at [URL]. If you have specific concerns, email [email protected].
— [Your name / Team]
Be specific about what you collect. Don't generic-deny.
Template 11: Region / localization complaint
2-3 star: "Doesn't work in [country]" / "Translations wrong"
Hi [Name],
Thanks for flagging — sorry [region] support isn't polished. We're [specific plan: working on Spanish localization next release / adding [feature] in [region]]. Email [email protected] if you can share specific examples.
— [Your name / Team]
Acknowledge the gap. Don't claim the app works in all regions if it doesn't.
Template 12: Ad complaint
1-2 star: "Too many ads"
Hi [Name],
Sorry the ad experience felt overwhelming. Ads support the free tier; Pro removes them entirely for $[price]/mo. If you have specific patterns that felt excessive (frequency, placement), email [email protected].
— [Your name / Team]
Don't deny ads exist. Offer ad-free path.
Template 13: Updates frustration
1-2 star: "Latest update broke X"
Hi [Name],
Sorry the update caused issues. We've shipped v[X.Y.Z+1] addressing this — should be live in [timeframe]. Specific issue you're seeing: email [email protected].
— [Your name / Team]
Take responsibility. Don't blame "edge cases."
Template 14: 1-star spam / troll
1-star: gibberish / off-topic / clearly malicious
Don't respond. Apple/Google will sometimes remove obvious spam. Engaging amplifies.
Template 15: 1-star regret / mistake
1-star: "Sorry, I tapped wrong" / "Meant 5-star"
Hi [Name],
No worries. If you have a moment to update your rating, that'd help us. Either way, thanks for trying [App].
— [Your name / Team]
Polite ask. Don't pressure.
Workflow
Daily / weekly cadence
- <10 reviews/day: respond within 24-48 hours.
- 10-50 reviews/day: batch in morning + evening.
- 50+ reviews/day: hire a support person.
Tools
- App Store Connect → Reviews tab.
- Google Play Console → Ratings & reviews.
- Sentry / Crashlytics tied to review responses (when crashes are mentioned).
For higher volume:
- Review Analyzer to bucket review themes.
- AppFollow / similar for unified inbox.
Localization of responses
Reviewer in Spanish? Respond in Spanish (if you can). Or auto-translate respectfully:
Translation of above response in [language]
Don't ignore non-English reviews. They count.
What never to do
- Argue. Always lose publicly.
- Generic copy-paste. "Thanks for your feedback, we'll consider it" feels hollow.
- Defensive language. "We don't have that issue" — denial breeds escalation.
- Personal attack. Even if reviewer is rude.
- Promise things you won't deliver. Future visitors will notice.
Measuring impact
Track:
- Response rate (% of negative reviews you respond to).
- Time to first response.
- Rating updates (reviewers who change their rating after response).
- Re-engagement (reviewers who reach out via email after your response).
Pre-response baseline → post-response data tells you if it's worth the effort. In our experience: always.
